The cornerstones of EMBL’s mission are to perform basic research in molecular biology; to train scientists, students and visitors; to offer vital services to member state scientists; to develop new instruments and methods; and to engage in technology transfer activities.
The purpose of the job is to provide effective administrative support to the Personnel section and to administer the applications for the General Training and Development Programme at EMBL. The postholder will work in the Secretariat and the tasks will involve:
Assisting in ensuring that all members of staff are informed of the content and aim of the General Training and Development Programme, and consequently encouraged to take advantage of this service
Managing the staff application for training sessions for the General Training and Development Programme
Organising travel and accommodation for trainers (including the provision of required equipment for the training) as well as arranging training for employees
Assisting in the annual planning of the training sessions, in preparing budget estimates for each quarter, maintaining budgetary control and performing duties like ordering, invoice payments, petty cash and other related expenditure
Preparing various reports as required, and maintaining a filing system
Assisting new members of personnel and their families with entry formalities as well as with exit formalities upon leaving EMBL
Arranging and monitoring external service providers (bank, tax consultancy)
Providing administrative duties as required by the section (e.g. standard correspondence, maintaining personnel files, scanning of documents, handling the post, organisational tasks)
Administrating of job applications during the recruitment process including registering and distributing the files, standard correspondence with applicants, preparation of recruitment statistics
Processing of contracts including filing
The post holder will report to the Head of Personnel
Qualifications and experience: The ideal candidate holds a university degree or has equivalent work experience. (S)he should have at least one year’s experience of leading and managing projects which relate to training. Experience in the use of a variety of software systems including MS Office and Access is essential. The postholder should have good analytical and organisational skills and should be proactive. The successful candidate should have excellent communication and interpersonal skills and be able to work under pressure. Working knowledge of English and additional knowledge of German and French would be beneficial.
Contract: An initial contract of 3 years´ duration will be offered to the successful candidate. This can be renewed, depending on circumstances at the time of the review.
